Using Accounts Receivable Reports

Purpose 

Everest has the following Accounts Receivable reports.

  • Accounts Receivable Aging
  • Customer Statements
  • Customer Statements (Date Range) 

To find the reports on the Everest Main Menu, select Reports > Invoicing.

Accounts Receivable Aging Report

Cash flow is very important to a company and nothing is more important in managing cash flow than knowing when and how much revenue you are expecting in payments from the sales your company makes to customers. The Accounts Receivable Aging report is a versatile report that provides information on the aging of customer balances. The Account Receivable Aging report does the following. 

  • Displays details for all document types
  • Provides details of customers with outstanding balances
  • Provides details of each receipt
  • Helps you determine your cash flows
  • Provides details for both posted and unposted documents 

Depending on the parameter preferences you select, advances against sales orders and credit orders display in the report. Credit orders display only if advances have been received against them.

Example – Generate Accounts Receivable Aging Report

Select Reports > Invoicing > Account Receivable Aging to open the Account Receivable Aging dialog box. You can group the Accounts Receivable Aging report by account name, account code, or account balance. If you select the Show Document Details check box, the Sort By field is also activated. You can sort by document date, due date, or document balance. If you do not select the Show Document Details check box, only the sum of the outstanding amounts displays for each customer.

The Aging Details field allows you to specify how to determine the age of the outstanding amount. The options are as follows. 

    • Age using due date
    • Age using document date
    • Do not show aging 

The Transactions to Include field allows you to specify whether you want to include all documents or only posted documents having outstanding amounts 
in the report. You also have options to show payment details, exclude credit memos and exclude advances, and select which currency to print on the report if the customer currency is different than your base currency.

Advanced Options

Click the Advanced Options button artraining-advancedoptions.jpg to expand Account Receivable Aging dialog box and display additional options.

These advanced options provide additional ways to filter your report. For example, you can create a report for a specific customer or range of customers. You can also create a report for a specific sales representative or a range of sales representatives.

For the Account Selection Method field, you can select a range of accounts or you can select the Smart Filter option. The Smart Filter option allows you to specify full or partial account numbers to select those accounts that match your selection. Refer to the online help for additional information.

Click the Advanced Options button artraining-advancedoptions2.jpg again to hide the advanced options, if needed.

Reports

Once you specify the report parameters, click on of the following buttons. 

    • Preview: Preview the report in the Report Preview dialog box before printing.
    • Print: Print the report.
    • Export: Save the report in text, XML, PDF, Excel, HTML or Crystal Report file formats.

The following Accounts Receivable Aging report examples were created with different parameters selected. 

This report was created using the default options.

You can also generate the Accounts Receivable Aging report for a specific customer from the Customers browser in Everest.

This report was created for a specific sales representative and it excludes document details.

Customer Statements

You send Customer Statements customers to let them know the status of their account with your company. Everest provides two Customer Statement formats: one for all open documents and one with a date range designation.

Example – Print Customer Statements

The Customer Statements report prints detail for all open documents including manual entries in both Sales Journals and Receipts journals.

Select Reports > Invoicing > Customer Statements to open the Customer Statements dialog box. Enter the information as shown in the figure below.

Preview

Click Preview to see the report on the screen. All open documents for this customer print on the statement.

Example – Customer Statements (Date Range)

The Customer Statements (Date Range) report prints a balance forward for all open documents dated prior to the date range selected along with all open 
documents created and dated in the specified date range. This report includes manual entries in both the Sales and Receipts Journals.

Select Reports > Invoicing > Customer Statements (Date Range) to open the Customer Statements (Date Range) dialog box. Enter the information as shown in the figure below, or as required.

Preview

Click Preview to see the report on the screen. Customers with an opening balance and no transactions, as well as those with a zero opening balance and transactions, display in this report.
