Issue/Task
The Human Resource Administrator can review, at a glance, the employee's time earned and time taken against the earned (or unearned) time for all accrual categories including Family Medical Leave Act (FMLA) time taken. The FMLA tab allows the Human Resource Administrator to review total FMLA time assigned and FMLA time taken. FMLA information is calculated on the form itself and is not stored in the Employee Absence table.
The Employee Absences form is primarily read-only, but details of individual absence categories may be reviewed by clicking the hyperlink in the Absence Category field. Details include actual time and projected time associated with the absence category. The Human Resource Administrator may adjust employee accrual categories and absence start and end dates on the Employee Absences details form, but it is recommended that changes to an employee's absence categories and accrual start and end dates are changed on the Employee Time Categories form.
Symptoms
This straightforwardly allows one to review absences.
Solution/Workaround
- If you are an Employee, navigate to Self Service > Pay > Time and Attendance > Vacation Balance.
If you are an HR Administrator, navigate to Human Resources > Employees > Time/Attendance > Absences.
- For users in the role of HR Administrator, the Find Page appears. Key in a few search query values and click the Search button afterwards.
- Click on the employee name in the search results to view the Employee absences page of the selected employee.
- The HR Administrator can edit or add accrual eligibility to an employee. Select an existing record from the list view of the form to modify or review an existing absence, or click the Add button to create a new accrual eligibility.
- The Employee Absences record page for the selected accrual eligibility appears. The page includes following Fields.
- Absence Category - Select the absence category from the given drop-down list to assign to the employee. This field should be edited from the Employee Time Categories form and allow the change to cascade to the Employee Absences form after the accruals are processed.
- Absence Start Date - Displays the date of the start of the absence period relative to the employee. A change to this date must come from the Employee Time Categories {EmpTclCat} table. The change will not appear on the form until the accrual workflow {Nightly Accrual Process} has executed after the change. This field should be edited from the Employee Time Categories form and allow the change to cascade to the Employee Absences form after the accruals are processed.
- Absence End Date - Displays the date of the end of the absence period relative to the employee. The absence category will no longer calculate accrued time, time taken, time remaining for the employee for the absence category. A change to this date must come from the Employee Time Categories {EmpTclCat} table. The change will not appear on the form until the accrual workflow {Nightly Accrual Process} has executed after the change. This field should be edited from the Employee Time Categories form and allow the change to cascade to the Employee Absences form after the accruals are processed.
- Days Accrued - Calculated field displaying the total amount of accrued time the employee has earned. This is displayed in days rather than work hours.
- Hours Accrued - Displays the total number of work hours accrued as time off by the employee.
- Days Carried Over - Calculated field displaying the total amount of accrued time the employee has carried over from a previous accrual period. This is displayed in days rather than work hours.
- Hours Carried Over - Displays the total amount of time carried over from the previous accrual period displayed in work hours.
- Days Taken - Displays the number of days of employee accrued time the employee has used. This value is derived from the Employee Calendar, time off request, when approved and the date of the absence is earlier than the current date. The value is displayed in days rather than work hours after the work hours is converted to days.
- Hours Taken - Displays the number of hours of employee accrued time the employee has used. This value is derived from the Employee Calendar, time off request, when approved and the date of the absence is earlier than the current date. The value is displayed in days rather than work hours.
- Days Remaining - Displays the number of days of employee accrued time that remain for the employee to use. This is a calculated field which uses the accrued time minus the amount of time already taken by the employee.
- Hours Remaining - Displays the number of work hours remaining for the employee for the absence category. This is a calculated value using the total hours of accrued time minus the number of accrued hours taken.
- Carry Over Expiration Date - Assigned from the Time Accruals table {Tcl}. The Carry Over Expiration Date is established when the accrual rule is created.
- Carry Over Time Used - Displays the number of hours carried over accrued time and which the employee has actually received or taken or eligible to take prior to expiration.
- Carry Over Time Expired - Displays the number of hours of carried over accrued time which have expired and the employee is no longer eligible to receive.
- Projected accrued time is viewed when the Absence Category record is found on the right column of the same window..
- Projected Days Accrued - Displays the projected number of days the employee will accrue during the accrual period if the accrual is not end dated or the employee does not terminate.
- Projected Days Taken - Displays the number of days of accrued time the employee is approved and scheduled to take after the current date.
- Projected Days Remaining - Displays the projected number of days the employee has remaining during the accrual period after subtracting actual days taken by the employee if the accrual is not end dated or the employee does not terminate.
- Projected Hours Accrued - Displays the projected number of hours the employee will accrue during the accrual period if the accrual is not end dated or the employee does not terminate.
- Projected Hours Taken - Displays the number of hours of accrued time the employee is approved and scheduled to take after the current date.
- Projected Hours Remaining - Displays the projected number of hours the employee has remaining during the accrual period after subtracting actual hours taken by the employee if the accrual is not end dated or the employee does not terminate.
